One recent example is the case of Town & City Management Ltd, a large block management company with a portfolio of 150 separate developments involving some 5,200 individual properties.
Although they’d owned TRAMPS since 2004, some of the most radical updates of recent years were not yet being used.
But when director Martin Baker joined in 2011, with a brief to revamp office management, Trace were called in to demonstrate just how much more the residential block management software could achieve if used to its full capabilities.

A small amount of bespoke development was undertaken, which allowed the company to automate the generation of penalty fees in accordance with their business process. This alone has saved many, many hours of manual work.
Dataload is now in routine use to import financial transactions such as bank interest – also saving huge amounts of time.
Items like statements, service charges and invoices are all now generated automatically and emailed, including even a standing order mandate for the tenant.
A programme of routine training has also now been implemented. “It wasn’t until we got the training that we realised just how powerful the software could be” says director Susan Johnson. “All the users really like it”.

Town & City Management have recently announced that they’ve achieved accreditation to ARMA-Q, the new regulatory standard for residential leasehold managing agents – one of the first companies in the north of England to do so.
“The software definitely helped us with the accreditation” says Sue. “And it’s also playing a key role in helping us to get the ISO 14001 Environmental Management Standard, which we’re also working towards”
