How Trace is bringing AI to Property Management

Artificial Intelligence (AI) is evolving at an almost inconceivable speed. What once felt theoretical is now tangible, with tools like large language models capable of analysing vast volumes of data and producing results that appear strikingly human. AI will become an increasingly important part of all our lives.

But beneath the surface, AI systems remain far from infallible — and for property professionals, the way we choose to adopt AI will make all the difference.

At Trace Solutions, we’ve been thinking carefully how AI should be brought into our property management software. The reality is that AI is not a general-purpose intelligence – of the sort that human’s possess – with the ability to create new ideas and knowledge, so its introduction must be handled very carefully.

AI doesn’t understand context, truth, or nuance. It certainly sounds convincing — sometimes even authoritative — but what it is delivering be inaccurate or misleading, when you least expect it. Worse still, it can be difficult to spot where those inaccuracies lie, especially when woven into otherwise plausible output.

This matters in property management, and certainly matters for Trace Solutions, where the reliability of our software’s output is a key part of what makes Trace, Trace.

For us, data accuracy, legal compliance, and professional judgement are critical. AI, if used uncritically, risks undermining those very things. Used responsibly, however, it has the potential to dramatically improve how our industry works — particularly by saving time, reducing repetition, and giving teams the space to focus on what really matters.

Our view at Trace is simple: AI should never be introduced just to tick a marketing box. It must serve a purpose. Our focus is on using AI to make systems faster, simpler, and more reliable — whether that means automating routine processes, streamlining workflows, or highlighting exceptions that need a human touch.

We’re not looking to replace people with machines. Property management is, at its heart, a people business. What excites us about AI is its potential to act as a kind of force multiplier — augmenting human capability rather than displacing it. We think of AI as though it were a bionic suit: giving you the ability to do more, with the same team, more confidently, efficiently and powerfully.

We’re also aware that with the introduction of any new technology comes responsibility. That’s why we’re working with leading academic institutions like Brunel University to ensure our approach is grounded in safety, reliability, and long-term value — not short-term hype.
